3. Why We Use Your Personal Data

We may process personal data for the following purposes:

  • responding to property, buyer, seller and general enquiries;
  • searching the live property portfolio and providing relevant property information;
  • arranging and administering property viewings;
  • following up seller enquiries and potential property instructions;
  • communicating with buyers, sellers, developers, owners and authorised collaborating parties where necessary;
  • providing the Ori AI Property Assistant and routing matters to a human where appropriate;
  • progressing offers, reservations and property transactions when requested;
  • maintaining business records, security logs and evidence of communications;
  • complying with legal, regulatory, tax, accounting, professional or anti-fraud obligations;
  • measuring and improving website performance where analytics consent has been given; and
  • sending marketing communications where we have a lawful basis to do so and providing an easy way to opt out.

4. Legal Bases for Processing

Depending on the activity, OriMar Living may rely on one or more of the following legal bases:

  • Steps requested before entering into a contract / performance of a contract: for example, responding to a serious property enquiry, arranging a viewing, progressing an instruction or supporting a transaction.
  • Consent: where you choose to receive certain marketing communications, accept non-essential cookies or where another activity specifically requires consent.
  • Legitimate interests: where appropriate, for ordinary business administration, responding to enquiries, maintaining security, preventing misuse, managing customer relationships and improving services, provided those interests are not overridden by your rights.
  • Legal obligation: where information must be processed to comply with applicable law, regulation, accounting, tax, professional or law-enforcement requirements.

Where processing relies on consent, you may withdraw that consent at any time without affecting processing already carried out lawfully.

5. Ori – AI Property Assistant

Ori is an automated assistant used to help with property searches, property questions, area guidance, viewing enquiries and preliminary seller enquiries. Users are informed that they are interacting with an AI-enabled system.

Messages submitted to Ori may be processed by technology providers acting on behalf of OriMar Living. See Beyond Digital provides and maintains the AI-assistant service and associated integrations.

Ori is not authorised to enter into binding contracts, accept offers or deposits, make final valuations, or provide legal, tax, mortgage or investment advice. Ori supports property search, information retrieval and routing; OriMar Living does not use Ori to make decisions producing legal or similarly significant effects about individuals solely by automated means.

Where a conversation requires negotiation, commercial judgment, a contractual commitment or professional advice, it is handed to a person.

6. Who May Receive Your Data?

Personal data may be disclosed or made accessible only where reasonably necessary to categories of recipients such as:

  • OriMar Living staff and authorised representatives;
  • property owners, developers, collaborating agents or key holders where necessary to answer an enquiry or arrange a viewing;
  • Hostinger, for website hosting, email and communications infrastructure;
  • See Beyond Digital, for website and IT support and the development, maintenance and operation of the Ori AI assistant;
  • Google, where the user has consented to analytics cookies or similar non-essential technologies;
  • lawyers, accountants, professional advisers or service providers where you request or authorise their involvement; and
  • public authorities, regulators, courts or law-enforcement bodies where disclosure is required by law.

Service providers acting as processors are required to handle personal data only for the agreed services and subject to appropriate data-protection obligations.

7. International Transfers

Some technology providers or their subprocessors may process information outside the European Economic Area. Where this occurs, OriMar Living requires an appropriate legal mechanism for the transfer, such as an adequacy decision, the European Commission’s Standard Contractual Clauses or another safeguard permitted by data-protection law.

The principal providers currently identified are Hostinger, See Beyond Digital and Google. The transfer mechanism applicable to a particular activity depends on the provider, service location and subprocessor used at that time. Further information may be requested from info@orimarliving.com.

8. How Long We Keep Personal Data

Personal data is kept only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting, professional or dispute-related requirements.

  • General property enquiries and buyer or seller leads: normally up to 12 months after the last meaningful interaction, unless the person becomes a client or asks us to continue the relationship.
  • Ori AI conversation records and associated operational logs: normally up to 12 months, subject to shorter security or system-rotation periods where applicable.
  • Marketing records: until consent is withdrawn, an objection is made or the data is no longer required. A minimal suppression record may be retained after opt-out so that the request can be respected.
  • Client, transaction, tax, accounting, anti-fraud and legal records: for the period required by applicable law or reasonably necessary to establish, exercise or defend legal claims, which may be longer than 12 months.

Data may be deleted or anonymised earlier when it is no longer required.

No internet-based system can be guaranteed to be completely secure, and users should avoid sending unnecessary confidential information through ordinary website forms or chat.

13. Data Not Obtained Directly from You
